1: Who are we?

Titanium Tutors Ltd. is a private tuition agency registered in England and Wales with company number 08672817.

Our registered office address is 37 Newton Court, Kingsley Walk, Cambridge, CB5 8TH.

 

2: About this policy

In this policy:

·         ‘Applicant’ means any person who creates an account on our Applicant Portal with the intention of becoming a Tutor on our team.

·         ‘Applicant Portal’ means the section of our website which allows Applicants to apply to be a tutor with us, and (if the Applicant is granted an interview) to book and cancel interviews.

·         ‘Tutor’ refers to any person who has successfully joined our team of private tutors after going through the application process as an Applicant.

·         ‘Tutor Portal’ means the section of our website which allows Tutors to manage their relationship with us, including (but not limited to) uploading their documentation, providing details of the subjects they tutor, applying for tutoring jobs and viewing their invoices and payments.

 

3: What Personal Data do we collect and why?

Data you provide to us as a Tutor via the Tutor Portal (for example: contact details, job offers, lesson reports, email preferences, feedback).

·         To notify you of new tutoring work or other work opportunities — e.g. flyering or working on our admin team (legal bases: L, P)

·         To notify you of material changes to our Terms & Conditions or Privacy Policy (legal basis: L, P)

·         To update your Titanium Tutors clients on the progress of their students (legal bases: L, P)

·         To notify you of social events, news or related products and services which may be of interest to you (legal basis: C, L)

Data relating to your activity in the Applicant Portal and Tutor Portal (e.g. dates of failed logins, dates of successful logins, pages you visit on the two portals, actions you take on the two portals)

·         To ensure security for you and other users, e.g. to monitor when there are suspicious numbers of login attempts for the same account (legal bases: L, P)

·         To optimise the efficiency of our processes — e.g. we will not allow Applicants to book and cancel interviews repeatedly, as this is not fair on other Applicants and can create unnecessary additional admin work for us; as a second example, we will record when a Tutor uploads ID, qualifications or DBS certificates, so that we are prompted to review and approve those documents and so that we can prove we have complied with our legal obligations. ·         To allow us to improve the design of the Applicant Portal and Tutor Portal, by understanding the pages which are commonly visited and the ways in which the system is typically used (legal bases: L, P)

* Where we contact you based on your consent, you can withdraw your consent (opt out) at any time using the unsubscribe links at the bottom of such communications or via the Tutor Portal.

 

4: Do we share your personal data with any third parties?

No: we do not share your personal data with any third parties unless we have your express permission to do so.

 

5: Keeping your personal data safe

We are committed to protecting our users’ personal data.

We implement appropriate technical and organisational measures to help protect the security of your personal data; however, please note that no system is ever completely secure.

We ensure that, wherever possible, we limit access to your data exclusively to the staff members who require it, and we train all our staff in good data protection practices.

We have implemented various policies including encryption and access policies to guard against unauthorised access and unnecessary retention of personal data in our systems.

Your password protects your user account, so we encourage you to use a unique and strong password, limit access to your computer and browser, and log out after having used the applicant portal.

 

6: Data retention and deletion

We keep your personal data for as long as is necessary to perform the purposes outlined in this policy.

If you decide to stop tutoring, we will keep your data on file in case you decide to resume tutoring in the future: this is to avoid you needing to provide all your details again and to ensure that we have the necessary notes to match you to the most relevant jobs.

At your request, we will delete your personal data, but please be aware that:

·         If you later decide to resume tutoring, you will need to re-apply and go through the interview process as if you are a new applicant, without any guarantee of the same interview outcome as before. You will need to provide your personal data again, and we will no longer have a record of notes helping us to match you to the most relevant jobs.

·         We cannot delete data which we are required to retain for legal, tax, audit and accounting obligations

·         We cannot delete data which is necessary for our legitimate business interests such as fraud prevention or to maintain the security of our users

 

7: Links

We may display advertisements from third parties and other content that links to third-party websites. We cannot control or be held responsible for third parties’ privacy practices and content. If you click on a third-party advertisement or link, please understand that you are leaving the Titanium Tutors service, and any personal data you provide will not be covered by this policy. Please read their privacy policies to find out how they collect and process your personal data.

 

8: Changes to this Privacy Policy

We may occasionally make changes to this Policy.

When we make material changes to this Policy, we’ll provide you with prominent notice as appropriate under the circumstances, e.g., by displaying a prominent notice within the Tutor Portal / Applicant Portal, or by sending you an email. We may notify you in advance.

Please, therefore, make sure you read any such notice carefully.
